Brussels, May 6, 2026 — The Flemish Region has announced a transition measure allowing employers to continue submitting certain work permit applications by email until September 1, 2026. This provides additional time for businesses and HR teams to fully adapt to the new mandatory digital filing system through the “Working in Belgium” (WIB) portal.
The extension comes as Belgium continues its broader digitalization drive for short-term work permits, commuter permits, and related authorizations. From May 1, 2026, the federal government has required most applications to be filed exclusively through the centralized online platform to improve efficiency, reduce errors, enhance transparency, and minimize administrative delays.
Regional Transition Timelines
Flanders: Email-based applications accepted until September 1, 2026.
Wallonia: Similar transition period until August 31, 2026.
Brussels-Capital Region: Stricter deadline, with email submissions largely discontinued from early May 2026.
After the respective transition periods end, any email, paper, or fax submissions will no longer be accepted and may be ignored by the authorities.
What This Means for Employers
Employers in Flanders who have not yet registered on the “Working in Belgium” portal should do so immediately to avoid last-minute issues. The platform serves as a one-stop digital counter where applications are submitted, tracked in real time, and processed by the relevant regional authorities.
Recommended Actions:
Create and verify accounts on the official Working in Belgium portal as soon as possible.
Migrate ongoing and upcoming applications to the digital system.
Train HR and immigration teams on the new platform requirements.
Submit any time-sensitive applications via email before the September 1 deadline if needed, while preparing for full digital compliance.
This phased approach reflects the Flemish government’s commitment to a smoother transition while modernizing labor migration processes. The move is part of a wider Belgian effort to digitize immigration and work authorization procedures.
